Setting up: Manage the database

Requirements

  • Microsoft Access 2002
  • 3.5 MB storage space

Where to store it

  • Unzip the file directly onto your C-drive. This will put the Machine in C:/OperationPublish, and the letter templates in C:/OperationPublish/Correspondence.

Create a short-cut for easy access

  • Open Windows Explore: Right click Start, and choose Explore
  • Resize the Explorer window so you can see the desktop
  • Open the C:/OperationPublish folder
  • Right-click “OperationPublish.dbs”, drag it onto the desktop, and release the mouse button
  • In the menu that springs up, choose “Create shortcut here”
  • You can change the shortcut name to anything you like
  • To change the shortcut icon, right-click the icon, choose Properties, choose the Shortcut tab, and click Change icon.

Personalise the letters with your own name & address

  • Double-click on your icon to open the database
  • Select the Manage database tab
  • In the grey boxes, type your own name, address and email address, then click “save new details”
  • The template will appear, with your details inserted
  • A message box will confirm it’s been saved and close the template for you
  • You can edit the template yourself – click “edit template”. Be careful not to delete field codes (see advice on right-hand side)

Your submissions

  • Check the submissions letter text in white.
  • In the grey box below, you can change each of the three
  • parts – but not their order or the information that goes between them.
  • Use the blue buttons to link to the manual, my site, or to email me

Add data

The world’s best database is useless unless you feed it data.

  • To add your writing, select the Writing tab and click Add writing
  • To add publishers, select the Publishing tab and click Add publisher
  • Each of these forms will give you arrows at the bottom so you can keep adding writing and publishers
  • The more details you give, the more useful the machine will be to you
